5 Tips for Planning a Perfect Meeting

So you want to start an event planning business, but you are not sure where to begin. You want to be able to organize various meetings and activities which will truly engage attendees. There are numerous factors that go into planning these events, so it can become frustrating without the right help. In order to help you plan the best and most enjoyable meetings and events, we have singled out some great tips for you.

1. What is the purpose of the meeting

First of all, you will need to figure out what kind of event will you be hosting. Is it going to be an educational lecture, some fund-raising event or charity? Knowing what the purpose of the meeting is will make it easier for you to plan the event. Make sure to think about the end results as well. Make a list of at least three possible outcomes of the entire event depending on the purpose of it.

2. Location

Picking out the perfect location is always a challenge. People want to feel relaxed and safe during meetings – so a good venue hall is the perfect solution. There are numerous places in Sydney where your event can take place. We strongly recommend you make a reservation at the luxurious Conca D’oro in Sydney. The rooms here can accommodate up to 450 guests and they are perfect for meetings, parties and other – large and small – social events. Your guests will feel appreciated once they see the elegance of the halls and taste the exquisite dishes prepared by amazing chefs.

3. Find help

First of all, it is impossible to organize a meeting without a proper support. If you plan on hosting a big meeting, hire volunteers to help you out. This will not only be cost-efficient, but it will help you give back to the community by helping the youth acquire some working experience. Make sure to divide everyone into groups. There should be a group responsible for the logistics of the entire event, a group that will host the guests and a group that will be in charge of  taking pictures and recording the meeting.

4. Scheduling

It’s is really important that you acquire some scheduling skills. If you don’t know how to do this already, start by opening up a new word document, or an excel table, and make a minute-by-minute plan of the meeting that you will be hosting. Take your time while practicing this kind of organization, and it won’t be long before you’ll be able to plan a multitude of events simultaneously. Additionally, make sure that you have everything planned out at least a week or two before the day of the meeting. This will give you enough time to reconsider the date of the event, the help that you want to hire, all the seating options and every other detail.

5. Keep your visitors up-to-date

This step usually comes last. It is important to have all of the previous steps covered before you move on to promoting your event on social media. The best social network to use for this is Facebook , but you can also use Twitter. Additionally, you should set up reminders and pictures of your preparation progress. By doing this, you can reach a wider audience which can make your event even more popular. You can also use social media to find sponsors for your future event.

As we can see, organizing a great meeting is not impossible. All it takes is good planning, a lot of teamwork, and the right attitude.
